After a Tutoring Session

  • After you have a session, go to the home page in LearnSpeed.
  • Under Sessions Needing Reports, you’ll see the session you just completed.
  • Click the +Session button to create a session report
  • When you post a session held with a student, there are boxes for the student, parent and admin.
    • Student box: Put homework and any notes geared to the student, using the template below. The parent also will see this note.
    • Client/Parent box: Put notes to that will go the parent only, but assume the student might see it.
    • Admin: If you want a note to the administrative office, put the info here.
    • If there is something unusual or important for the administrative office to see in your report, check the box “Requires Attention.”
  • Also, if you use the material from our prep website(s) — our SAT or ACT workbook, PointsBooster reports or customized quizzes — during the session, you must record a session in the planner tab of the SAT or ACT websites reflecting the total amount of tutoring session time during which you used material from the prep website.

Tutor Availability

Toward the end of each month, enter your availability for the following month as part of your preparation and follow-up. Watch this video that explains how to enter your availability.

You will get tutoring assignments based on your availability. We will no longer call you to confirm your availability.

Once you have confirmed tutoring a student during a given time period, you are committed to doing so.

LearnSpeed Tags: Identify What you Teach

You must identify the topics you can teach using tags in LearnSpeed.
Do not use the tags that are in the format “Number: Topic,” such as “1: Reading” or “2: Reading and Writing” to identify what you can teach. Use those tags after you hold a session with a student to identify subjects you taught in that session.
To identify what you can teach, use tags SAT1_Reading, SAT1_Writing, ACT_English. To do this, log into LearnSpeed, and click “My Account” at the top of the page. Scroll down to “Tags“, and select the subjects you can teach.

Hot Tip

You can put the above template into the calendar entry in the notes field. Then check the button “Copy to Session Student Note.” When you create the session rerport, the template will automatically populate the student note. This shortcut is especially useful if you have a recurring calendar event, as you can put the template into the recurring calendar event, and the template will populate the student note each time you create a session report in that series.

Assign Diagnostics

Assign diagnostics after every third session. Report the name of the diagnostic you’ve assigned when you file your session report (in the student box, using the template above). If the student takes a proctored exam, that counts as a diagnostic. Then assign a diagnostic on the third session after the diagnostic.

On our satprep and actprep websites, you can assign only a full test, not a section. So assign the full test and advise the student which sections to complete (math, reading/writing, math/science, etc.)

File Preparation and Follow-up pay

After each session, file a timesheet for preparation and follow-up time.

After you correctly file a session report in LearnSpeed, do the following:

  • Click My Timesheets tab in LearnSpeed.
  • Click Add Timesheet
  • For Timesheet Type, choose the tutoring related to the session, for example, “Tutoring SAT/ACT”
  • In the Note field, enter the name of the student you tutored
  • Enter date and time that your session started
  • Under hours, enter the time spent for preparation and follow, up to a maximum of:
    • 0.5 (for a two-hour session)
    • 0.25 (for a one-hour session)
    • (see the conversion table in the addendum of the tutor manual to convert other times to decimal).

If there’s a late cancellation, change the session length to 1 hour when you file the session report and, if you completed preparation, file a separate timesheet for up to 0.25 hours of preparation.
If there is a no-show, enter the amount of time for preparation and follow-up based on the length of time the session would have been.

If there’s a late cancellation or no show, you’ll hold an actual session at a later date. So don’t file preparation and follow-up twice. Complete a timesheet for preparation and follow-up on the date in which you actually hold a session.

Examples

  1. You tutor for 2 hours: File your session report, which will automatically file a 2-hour timesheet. Also file a timesheet for 30 minutes of preparation and follow-up as described above.
  2. You get a late cancellation: When you file your session report, change session length to 1 hour, which will automatically file a 1-hour timesheet. When you actually hold the session, file the timesheet for preparation and follow-up.
  3. You get a no show: File your session report (make sure session length is 2 hours), which will automatically file a 2-hour timesheet. File a timesheet for 30 minutes of preparation and follow-up as described above.

Scheduling and Recording Sessions

The training video provides information on scheduling and recording sessions with students.

Here is some information to supplement the video.

Late Cancellations

If a student cancels with less than 24 hours’ notice, you have two choices:

  • Delete the session for LearnSpeed. The client will not be charged, and you will not be paid. If the student who rarely cancels is sick or has a good excuse for a late cancellation, choose this option.
  • Change the session length to one hour in LearnSpeed. Create a session report. Report the attendance as “late cancel.” The client will be charged for one hour and you will be paid for one hour.

No Show

This means the client didn’t show up and didn’t cancel before the start of the session. You must be present at the scheduled time and location in order to report a “No Show.”

  • Create a session report.
    • Report the attendance as “No Show.”
    • Check the box “Requires Attention.”
